The association is generally seeking the following volunteerās profile:
Current student or recent alumnus based in either the UK or France
Mission-aligned with a deep passion for meaningful, positive impact and innovation
Creative thinker with a solutions-focused mindset
Highly organised and detail-oriented
Strong written and oral communication skills
Working knowledge of French is an asset, but not mandatory
Comfortable working in a lean, fast-paced, and evolving non-profit environment
For Vice-President positions, a volunteer will also:
Have excellent team-management skills in supervising and coordinating volunteers within the division
Volunteering Details:
Division Members: 1.5 hours/day (MondayāFriday)
Vice-Presidents: 2 hours/day (MondayāFriday)
1 year duration, with possibility of renewal
Work Mode: 100% Remote | Work from Home
Note: Volunteers will be expected to be in attendance throughout the ECD Summit on 7 and 8 April, which will take place in France. The Logistics VP is also expected to travel to the venues in advance.

Step One: Complete the recruitment formĀ to express your interest in VP or Division Member positions.Ā The deadline is 20 May 2025.Ā However, please note that the various positions may close earlier should we receive a high volume of applicants.
Step Two: Panel interview with current ECD Executives, Founder, and Supervisory Board. Interviews will take place by 29 May at the latest.
Step Three: Offers will be sent to successful applicants by 1 June. The onboarding process will start soon after.Ā

Structure of the Entente Cordiale Day Association
Academics VP
Role Summary
The Academics VP is responsible for designing, coordinating, and overseeing all academic aspects of the Entente Cordiale Day Association. This role ensures that the academic competition is rigorous, fair, and aligned with the association's mission of fostering excellence. The Academics VP plays a central role in juror engagement, academic outreach, and student support: from setting competition guidelines to facilitating constructive dialogue around academic concerns. Reporting to the ECD Presidents and sitting on the Executive Board, the Academics VP works cross-functionally with other team leads to integrate educational excellence across the associationās programs.
Key Responsibilities: To lead and oversee a team of ECD division members in the following key areas.
Student Reports
Refine and implement the academic competition framework, including themes, rules, and evaluation criteria
Create competition guidance material that is clear, accessible, and upholds high academic standards, including a regularly updated FAQ, informative blog posts, and handbooks
Work with the Engineering VP to create and monitor the team registration and report submission portals for both French and UK teams
Create material for the student newsletter managed by the Relationships VP around the theme and reports.
Conduct periodic evaluations and integrate feedback to improve the academic experience
Advise the Relationships VP on students seeking guidance on the competition
Jury CoordinationĀ
Oversee the recruitment and management of Written Jury members from academic and professional fields for both the French and UK teams
Work with the Presidents to oversee the selection and management of Grand Jury members to oversee both the French and UK finalistsĀ
Develop clear guidelines and expectations for jurors to ensure fairness and consistency
Assign reports based on themes to the most compatible jurorsĀ
Ensure the marking for every report is received in a timely manner from the Written Jury
Oversee the Written Marking Moderation Process, assigning the report to a third member of the Written Jury in case of significant discrepancies between marks
Maintain regular communication with jurors
Provide the Grand Jury with on-the-day support during the team presentations stage
Academic Events
Lead the programming of academic events related to the ECDās theme, in collaboration with other divisions and Brand Ambassadors
Invite speakers to attend online and in-person events
Lead ECD workshops to inform students from both the UK and France about the competitionās guidelines
Skills & Experience
Bachelor's degree or higher in a field related to the yearās theme
Strong experience in competition planning or educational outreach
Familiarity with academic standards within higher education in both the UK and France
Excellent written and verbal communication skills in English; French proficiency is desirable
Proficiency in Microsoft Excel and other productivity or data management tools (e.g., Google Sheets, Airtable, project management platforms) for tracking juror engagement, competition results, and student data
Communications VP
Role Summary
The Communications VP oversees and executes internal and external communications initiatives for the Entente Cordiale Day Association. This role is pivotal in shaping the Entente Cordiale Day brand narrative, strengthening stakeholder engagement, and ensuring consistent messaging across all platforms (from sponsors' and partners' communication to media outreach) with a strong focus on storytelling that drives awareness and support. The Communications VP reports to the Entente Cordiale Day Presidents, sits on the Executive Board and ensures cross-functional collaboration with the other team leads.
Key Responsibilities: To lead and oversee a team of ECD division members in the following key areas.
Content Production
Lead the production of diverse content types, including written articles, newsletters, brochures, social media posts, videos, podcasts, and infographics
Create and oversee the design of communication materials for events (e.g., Entente Cordiale Day celebrations, fundraisers, alumni gatherings), including event programs, invitations, banners, and signage
Maintain high editorial standards by reviewing, editing, and proofreading material produced by other Divisions
Oversee website content creation and updates, ensuring that information is current, engaging, and optimised for SEO where applicable
Use basic graphic design tools (e.g., Canva, Adobe Creative Suite) to produce visually appealing materials or coordinate with designers for more complex projects
Work closely with other teams (particularly Relationship Management, Events, and Fundraising) to develop tailored communication pieces (e.g., donor reports)
Public Relations
Build and maintain relationships with the media to generate positive coverage
Prepare press materials, including releases and op-eds
Serve as spokesperson when needed
Support communication needs for fundraising, sponsorships, and university partnerships
Social Media
Maintain an active and engaging presence across key platforms (e.g., Instagram, LinkedIn, Facebook, X/Twitter, TikTok)
Plan and maintain a social media content calendar that integrates key events, anniversaries, campaigns, and participant stories
Monitor conversations, respond to comments and messages, and foster an active online community by engaging with followers, alumni, and partner organisations
Design and run social media campaigns for key initiatives, including event promotion, fundraising drives, and special projects, coordinating with partner organisations and sponsors when relevant
Track key performance indicators (KPIs) such as engagement, reach, click-through rates, and follower growth; produce monthly analytics reports to inform strategy adjustments
Skills & Experience
Bachelorās degree in communications, journalism, public relations, or related field
Experience in communications, preferably in a non-profit or academic organisation

Engineering VP
Role Summary
The Engineering VP is a mission-aligned Developer & Tech Support Specialist to support the organisationās digital infrastructure, improve technical tools and systems, and troubleshoot day-to-day tech issues. This role is vital to maintain and improve the digital experience for volunteers and stakeholders, helping the association maximise its impact through smart and effective use of technology. The Engineering VP reports to the Entente Cordiale Day Presidents, sits on the Executive Board and ensures cross-functional collaboration with the other team leads.Ā Ā
Key Responsibilities: To lead and oversee a team of ECD division members in the following key areas.
User Interface
Maintain and improve the associationās website (e.g., updates, UX enhancements, accessibility, search engine optimisation)
Support the maintenance and integrity of data systems (e.g. contact lists, CRM tools)
Ensure compliance with data privacy standards
Monitor and optimise system performance, security, and backups
Support tech setup for virtual meetings and webinars
Build or customise digital tools that support academic operations, fundraising, and other program delivery (e.g., forms, surveys, databases, dashboards)
Internal Operations
Manage onboarding/offboarding of volunteers (email, file sharing)
Set up and maintain shared tools (Google Workspace, Notion)
Review and approve vendor contracts, licenses, and renewals in coordination with President and Treasurer
Provide basic tech support for volunteers
Implement integrations between platforms (e.g. CRM, email marketing)
Develop user guides or documentation for key tools or processes
Stay current on best practices and help identify and implement tools that improve team productivity and collaboration
Skills & Experience
Bachelorās degree in Computer Science, IT, MIS, Software Engineering or relevant certifications
Experience with front-end and/or back-end development, tech support or systems administrationĀ
Familiarity with CMS platforms, CRMs and common non-profit tech ecosystems (Google Workspace, cloud technology)
Knowledge of cybersecurity, IT compliance, or data privacy is a plus

Sponsorships VP
Role Summary
The Sponsorships VP drives and manages fundraising initiatives that support the mission and growth of the Entente Cordiale Day association. This role develops sponsorship engagement strategies and is critical to building sustainable funding streams through institutional and corporate partnerships. The Sponsorships VP reports to the Entente Cordiale Day Presidents, sits on the Executive Board and ensures cross-functional collaboration with the other team leads.
Key Responsibilities: To lead and oversee a team of ECD division members in the following key areas.
Fundraising Logistics
Lead the planning and execution of annual fundraising strategies, events, and campaigns
Coordinate the preparation, submission, and tracking of grant proposals in collaboration with the Presidents and the Communications VP
Develop persuasive sponsorship proposals and partnership packages that outline clear benefits for sponsors, including branding opportunities and social impact recognition
Oversee the logistics of donor gifts, including the procurement, packaging, and distribution of thank-you gifts, event swag, and donor recognition materials
Ensure that fundraising events and activities comply with local laws and charity regulations
Sponsor Relations
Proactively research and identify potential sponsors, grant-making institutions, foundations, and major donors whose missions and values align with the ECD
Build and maintain strong, professional relationships with existing sponsors and donors through regular updates, meetings, and engagement opportunities
Coordinate sponsor-related logistics at events (e.g., branded spaces, speaking opportunities, VIP access) and ensure that sponsor agreements are fully executed
Skills & Experience
Bachelorās degree in non-profit management, communications, business, or related field (or equivalent experience)
Experience managing people, projects, and budgets
Proven success in meeting or exceeding fundraising goals
Comfortable with sponsors / partners outreach

Logistics VP
Role Summary
The Logistics VP is in charge of planning and executing the Entente Cordiale Day Summit in April and the Alumni Event in the Summer and drives all logistical operations to support the associationās mission and community engagement. This role is crucial to ensure all events run smoothly, efficiently, and with maximum impact and within budget. The Logistics VP coordinates everything from event manager contractors, vendor management, to on-site logistics, ensuring a seamless experience for participants, stakeholders, and volunteers. The Logistics VP reports to the Entente Cordiale Day Presidents, sits on the Executive Board and ensures cross-functional collaboration with the other team leads.
Key Responsibilities: To lead and oversee a team of ECD division members in the following key areas.
Guest Management
Build and maintain comprehensive guest lists for each event, working with the Presidents and Founder to ensure key stakeholders are included
Coordinate the design and delivery of event invitations (digital or printed) in collaboration with the Communications division
Manage the RSVP process and online registration systems, monitor guest responses, send follow-up reminders, and track attendance
Serve as the primary point of contact for invited guests, providing pre-event communications with event, accommodation, and transport details
Design floorplans, seating arrangements, and traffic flow in collaboration with the venue
Organise and oversee check-in and registration desks, distribute event materials (e.g., badges, programmes, welcome packs), and provide clear signage
Collaborate with the Communications division to send post-event communications
Venue Management
Negotiate venue contracts to secure the best terms while ensuring compliance with the associationās budget and operational requirements
Act as the primary liaison with venue managers and caterers
Develop detailed event timelines, run-of-show documents, production schedules, and contingency plans to guide pre-event, live, and post-event operations
Conduct site inspections to identify and address potential logistical/safety challenges, assess venue capabilities, and finalise operational plans with venuesĀ
Oversee event staff and volunteers, assign roles & deliver pre-event briefings
Auxilliary Operations
Maintain an up-to-date inventory of all event-related materials, supplies, signage, uniforms, equipment, and branding items, and ensure proper storageĀ
Plan and coordinate the safe transport of event materials and technical equipment (e.g., banners, audiovisual equipment, decor items) to and from venues
Manage any shipping needs for printed materials, sponsor items, and awards
Oversee hotel bookings for special guests, finalists, and volunteers. Manage rooming lists and special requests (early check-ins, late check-outs)
Identify and liaise with secondary service providers (e.g., florists, audio-visual provider, security personnel, rental companies, tech support) beyond the main venue contracts
Skills & Experience
Proven experience in logistics, operations, or event management preferred
Understanding of non-profit budgeting and procurement processes
Ability to travel occasionally and work flexible hours as needed for events
Excellent organisational and time management skills

Relationships VPĀ
Relationships VP
Role Summary
The Relationships VP is responsible for building and managing key relationships between the Entente Cordiale Day Association and its core audiences including: students, alumni, university departments, and student societies. As the primary liaison between these stakeholders and the ECD Board, the Relationships VP ensures that communication is smooth, partnerships are meaningful, and students feel engaged and supported throughout their journey with the association. This role reports to the Entente Cordiale Day Presidents, sits on the Executive Board, and collaborates closely with the Communications, Logistics, and Outreach divisions to foster long-term connections and promote the associationās mission.
Key Responsibilities: To lead and oversee a team of ECD division members in the following key areas.
Student & Alumni Relations
Serve as the main point of contact for all student participants, including finalists and competition entrants, addressing individual queries and offering tailored support
Oversee a newsletter aimed at current participants of the ECD
Maintain ongoing engagement with ECD alumni through an Alumni newsletter from all past editions, fostering a strong, active alumni network
Collaborate with the Academics and Logistics division to develop activities and events before, during, and after ECD, for both participants and alumni
Track and analyse patterns in student feedback or concerns to recommend improvements
University & Institutions Relations
Maintain and grow relationships with existing partner universities
Identify and initiate new partnerships with respected universities, research centres, and think-tanks in the UK and France to broaden ECDās academic reach
Work with the Academics VP to recruit Written Jurors and/or event speakers from the Partner institutions
Ensure timely communication and alignment with university stakeholders on ECD timelines, processes, and opportunities
Maintain organised records of stakeholder relationships, contacts, and communications using tools like Excel, Airtable, or CRM platforms
Brand Ambassadors
Invite student societies to partner with the Association as Brand Ambassadors for the ECD
Build and manage relationships with Brand Ambassadors, interest groups, and informal student networks to promote participation and awareness
Facilitate opportunities for student organisations to collaborate or participate in ECD activities
Skills & Experience
Bachelorās degree in communications, international relations, education, or a related field
Experience in stakeholder engagement, relationship management, or community outreach

Treasurer
Role Summary
The Treasurer is also responsible for overseeing the financial affairs of the Association. This includes ensuring financial accountability, supporting budgeting and reporting processes, and guiding the board in making sound financial decisions and budget allocations. The Treasurer works closely with the Founder, Presidents, the Supervisory Board, and any external contractors (e.g., accountants or bookkeepers) to ensure the financial health and sustainability of the Association. The Treasurer reports to the Entente Cordiale Day Presidents, sits on the Executive Board and ensures cross-functional collaboration with the other team leads.
Key Responsibilities
Auditing
Review and approve monthly/quarterly financial statements and budgets
Ensure timely and accurate filing of accounts returns, audits, and compliance with best practices and local regulatory complianceĀ
Act as the Executive Board's main point of contact with finance-related external contractorsĀ
Manage and oversee all outgoing invoices to ensure accurate and timely billing of services, grants, or fundraising commitments
Ensure that grant obligations are met, including delivery of interim and final reports, financial documentation, and acknowledgement of funding sources in communications
Track and analyse fundraising metrics & expenditures, and prepare regular reports for the Executive Board and Supervisory Board
Oversee reimbursement processes for volunteers and other stakeholders (when relevant)
Skills & Experience
Bachelorās degree in finance, accounting or business or equivalent proven experience
Familiarity with non-profit financial standards and reporting requirements, including Association Loi 1901 filings and grants or donor funding reporting
Knowledge of accounting software when relevant and spreadsheet tools
